Job Title Highway Administrative Assistant

Job Sub-title Highway Department

Classification Exempt

Supervisory Role N/A

Introductory Period 180 Days from commencement of work

Salary $20.21/hr to $21.87/hr DOE

Self-Termination 2 Weeks or 10 working days

License Requirement

Job Objective Responsible for assisting the Superintendent and Weed Supervisor with operation of office

Hours of Work Summer Hours: Monday thru Thursday from 6:30 am to 5:00 pm and

Winter Hours: Monday thru Thursday from 6:30 to 4 and Friday 6:30 thru 10:30oa or as assigned

Clothing Casual Office Attire. Blue Jeans are fine. No holes in clothing. Comfortable but appropriate for an office.

Equipment/Tools Phone, Fax, Computer Postage Machine, Laminator

Statement of Duties

  • Daily sorting of mail and bills to pay. Incoming checks need to be signed and go to the Auditor

  • Orders office supplies and paper products

  • Weekly enter data from drivers/mechanic timecards

  • Twice a month prepare bills/invoices to turn inro Auditor’s Office

  • Mail correspondence requested by the Highway Superintendent and/or the Weed Supervisor

    • Track Fuel Usage

      • Record supplies used from inventory

        • Assist drivers/mechanic with any accident report.

        • Monitor vehicle insurance changes to Insurance company

        • Notify drivers of any upcoming drug testing

        • Complete and track reports for FEMA, FAS, and Big Grants as needed

Qualifications, Skills and Knowledge

  • Communicates well with the public and highway employees

  • Type and mail all correspondence to residents

  • Answer office phone professionally

  • Has previous experience with office equipment

  • Working knowledge of Outlook, Excel, Word.

  • Can create Excel spreadsheets

  • Ability to learn new programs such as gWorks software and Gasboy

  • Can work alone when needed

  • Sets workload based on schedule of work to be done

  • High School education or equivalent with related work experience preferred

  • Can prioritize job duties

Essential Job Functions

Function: Office Activities

Activity:

  • Walking indoors in the office area or out to the shop

  • Walking outdoors to the mailbox on gravel

  • Standing/Sitting Entering data into computer

  • Lifting boxes filled with paper/reports to storage room

  • Bending minimal bending to load copier

  • Kneeling to get into lower file cabinet drawers

  • Elevated Work to get supplies from office cabinets or boxes in storage room

Activity: Drive Highway vehicle

  • Sitting (continuously) when taking vouchers to the Government Center, or getting any supplies.
